Lock Inactive Users
You can limit the recording to a specific user. You can also use the trace to search only for permission errors. The evaluation is similar to the evaluation of the system trace in the transaction ST01. In transaction STAUTHTRACE, however, you can also evaluate for specific authorization objects or for specific permission check return codes (i.e. after positive or negative permission checks). You can also filter multiple entries.
The user administration process, i.e. user creation, modification and deactivation, should on the one hand be available in written documented form, either as a separate document or as part of the authorization concept documented in writing, and on the other hand also be carried out in accordance with the documentation. Therefore, a reconciliation should be performed on two levels: on the one hand, it should be ensured that the documentation is up to date and, on the other hand, it should be checked whether the process was also followed in the fiscal year to be audited. Possible deviations should already be prepared argumentatively, special cases can always occur that deviate from the actual process. However, these should be documented in a comprehensible manner so that an external auditor, such as the auditor's IT auditor, can check the plausibility. All documentation should be provided with the essential information (creator, date, version, etc.) and be in a format that cannot be changed (usually PDF). Additional documentation can also be output from the ticket system, provided that the process is consistently documented via the ticket system.
Set password parameters and valid password characters
Although it is possible to create profiles manually, it is recommended to work with the profile generator. The Profile Generator allows you to automatically create profiles and assign them to user master records. The Profile Generator is used to simplify and speed up user administration and should always be used when setting up authorizations for your employees. The Profile Generator is also used to set up the user menus that appear when users log on to the SAP system.
So much information... how can you keep it so that you can find it again when you need it? Scribble Papers is a "note box" that makes this very easy.
Once you have identified the organisational features to consider, verify that you can redesign the existing roles so that the organisational features can be clearly maintained by use. This leads you to a concept in which functional and organisational separation is simply possible. However, it will end up with a larger amount of roles: Roles posting/investing, changing roles, reading roles. Such a concept is free of functional separation conflicts and is so granular that the organisational characteristics can be pronounced per use area.
For the assignment of existing roles, regular authorization workflows require a certain minimum of turnaround time, and not every approver is available at every go-live. With "Shortcut for SAP systems" you have options to assign urgently needed authorizations anyway and to additionally secure your go-live.
It is also possible to specify in the concept that, in the event of an emergency, extended authorization may be granted to other selected users; this is up to the company to decide.
The SAP standard report RSUSR008_009_NEW is suitable for this purpose.
